What Is a WhatsApp CRM? What It Does and What to Check
A WhatsApp CRM keeps each WhatsApp conversation with a customer on that customer’s record, so the chat, the contact details and the follow-up status live in one place. What it stores, the WhatsApp rules it has to work inside, and what to check before you buy one.

- Lead Management
A WhatsApp CRM is a customer or lead database in which each person's WhatsApp conversation is attached to their record. Your team sees who the person is, what was said on WhatsApp and what the next step is in one place, so a conversation is not lost in one salesperson's phone and a lead is not followed up twice or not at all.
The term is used for several different products. This post explains what a WhatsApp CRM has to do, the WhatsApp rules every one of them works inside, and what to check before you choose one.
What does a WhatsApp CRM actually store?
Four things per person. If one is missing, your team rebuilds it by hand.
- The contact. Name, WhatsApp number and any other details the person gave.
- The conversation. Messages in both directions, in order, on the record itself.
- A status. Something your team changes as they follow up, so everyone can see what has been done.
- Where the lead came from. An ad, a form, your website. It tells you which channel is worth paying for.
A shared phone, or the WhatsApp Business app on one device, holds the conversation and nothing else. The moment a second person follows up leads, nobody can tell who replied to whom.
How is a WhatsApp CRM different from the WhatsApp Business app?
The app is a messaging tool for one phone. A WhatsApp CRM is a shared record that connects to the WhatsApp Business Platform, the API businesses use to send and receive messages at scale.
| WhatsApp Business app | WhatsApp CRM | |
|---|---|---|
| Built for | One person, one phone | A team |
| Where conversations live | On the device | On each customer's record |
| Follow-up tracking | Labels you apply by hand | Statuses, notes and history |
| Automation | Greeting and away messages, quick replies | Replies, follow-up sequences and handoff to a person |
| Connects to | Nothing by default | Lead sources such as ads, forms and website chat |
What WhatsApp rules does every WhatsApp CRM have to follow?
These are WhatsApp Business Platform rules, not a limitation of one product, and no software removes them. They are the same in every country.
A business needs permission before it messages someone. A person who messages you first has given it. A bought list has not.
Free-form replies are allowed only within 24 hours of the customer's last message. The window is measured from their message, not yours.
Once the window closes, the only thing you can send is a message template Meta has approved. A template is what reopens a quiet conversation.
Blocks and reports lower a template's quality rating, and messaging limits grow only for businesses that send messages people want.
What kinds of product are sold as a WhatsApp CRM?
Three, and they solve different problems.
| Kind | What it is | Fits when |
|---|---|---|
| A shared WhatsApp inbox | Several people answer one number, with assignment and tags | Your main problem is many people replying from one number |
| A CRM with a WhatsApp integration | A general CRM that can send and log WhatsApp messages | You already run a CRM and want WhatsApp inside it |
| A lead tool with WhatsApp follow-up | Captures leads from ads, forms and chat, then follows up on WhatsApp | Your main problem is leads that nobody contacts in time |
Many products do part of two. Decide which problem you have before you compare feature lists.
What should you check before choosing one?
Six questions, in this order.
- Whose WhatsApp account is the number in? Yours, or the vendor's. You want to keep the number if you leave.
- Do leads from every source arrive in one list? Ads, forms and website chat should not need a download and an upload.
- What happens outside the 24-hour window? The product should use approved templates, and show you when one fails.
- Does automation wait for a reply? A sequence that fires on a timer keeps messaging someone who has already answered.
- When does a person take over? Ask what triggers a handoff and how your team is told.
- What does it not do? Ask where the product stops. A vendor who cannot say has not thought about it.
Do you need a WhatsApp CRM or a full CRM?
A WhatsApp CRM is enough when your follow-up is a queue: a lead arrives, someone contacts them, and the lead is marked done. You need a full CRM when you manage a process with deal stages, values, forecasting and several teams. The same test decides between a chatbot with a built-in CRM and one that feeds a separate CRM.
Where can you read about one market?
The rules above are global. How buyers use WhatsApp, and what else applies, differs by country. For India, read WhatsApp chatbots for real estate in India and click-to-WhatsApp ads versus lead form ads. For leads that start on a form rather than in a chat, read how to auto-reply on WhatsApp to Facebook lead ads.
Where Vyostra AI sits
Vyostra AI is the third kind: a lead tool with WhatsApp follow-up. Leads from your chat agents, lead forms and Meta lead ads land in one list, each with its transcript or submitted answers. For a new lead from chat or a Meta lead ad, a follow-up journey sends a WhatsApp message, waits for a real reply rather than firing on a timer, nudges once if the lead goes quiet, and hands the lead to your team when it needs a person.
WhatsApp messages are sent through your own WhatsApp Business API account with Gupshup, so the number stays yours. The lead list is a follow-up queue with four statuses (New, Contacted, Qualified, Closed) and notes. It has no deal stages, forecasting or custom reports. Common questions
- What is a WhatsApp CRM?
- A WhatsApp CRM is a customer or lead database in which each person’s WhatsApp conversation is attached to their record. Your team sees who the person is, what was said on WhatsApp and what the next step is in one place, instead of in separate phones and spreadsheets.
- Does WhatsApp have its own CRM?
- No. The WhatsApp Business app has labels, quick replies and a catalog, but it is a messaging app for one phone, not a shared record of customers and follow-up. A WhatsApp CRM is a separate product that connects to the WhatsApp Business Platform, which is the API businesses use to send and receive messages at scale.
- Can a WhatsApp CRM message anyone at any time?
- No. WhatsApp requires that a person has opted in before a business messages them, and free-form messages are allowed only within 24 hours of the person’s last message. After that, the business can only send a message template that Meta has approved. These rules apply to every WhatsApp CRM, whoever makes it.
- Do I need the WhatsApp Business API to use a WhatsApp CRM?
- For anything beyond one person on one phone, yes. A CRM that sends and receives WhatsApp messages on your behalf does it through the WhatsApp Business Platform, either directly with Meta or through a provider. Check which route a product uses and whose account the number sits in.
- Is Vyostra AI a WhatsApp CRM?
- Vyostra AI is a lead CRM with WhatsApp follow-up built in. Leads from your chat agents, lead forms and Meta lead ads land in one list, and a follow-up journey messages a new chat or Meta lead ad lead on WhatsApp, waits for a real reply and hands the lead to your team when it needs a person. It is a follow-up queue with four statuses, not a pipeline CRM with deal stages.
