WhatsApp automation is any WhatsApp message a business sends or answers without a person typing it at that moment: an instant first reply, an answer to a common question, a reminder, a follow-up. A small business in India can set it up three ways, from the free WhatsApp Business app to a tool built on the WhatsApp Business Platform, and each automates a different amount of the work.

What can a small business automate on WhatsApp?

The free app's features are WhatsApp's own description: automated greeting and away messages, quick replies, labels and a catalog. A quick reply still needs a person to choose it. Nothing in the app decides what to say next.
What rules decide what you can send?
WhatsApp's own rules, which are the same in every country, and Indian consent law.
A business must have a person's opt-in before it messages them, and must say clearly what they are opting in to and from which business.
When a customer messages you, a 24-hour customer service window opens. Inside it you can reply freely. It resets each time they message again.
After the window closes you can send only a message template that Meta has approved. Templates are marketing, utility or authentication.
Each template has a quality rating based on usage and customer feedback, and a template with poor feedback can be paused automatically.
On consent, India's Digital Personal Data Protection Act, 2023 says in section 6(1) that consent must be "free, specific, informed, unconditional and unambiguous with a clear affirmative action", and that it is agreement to processing for the purpose the person was told about. What should you automate first?
Start with what costs you customers today, and stop when the problem is solved.
- The first reply. Set a greeting message in the WhatsApp Business app that says who you are and when a person will answer. It is free and takes a few minutes.
- The away message. Tell people who write after hours when you open. A late enquiry that gets silence until morning may not still be waiting.
- Common answers. Save your price list, address, timings and payment details as quick replies.
- Lead capture. When enquiries outnumber the people answering, move to a chatbot that asks the same few questions every time and records the answers.
- Follow-up. Have one template approved for leads who went quiet, and send it once. Then stop.
- Alerts to your team. Make sure a new lead reaches a person straight away, wherever it came from.
Steps 1 to 3 need only the free app. Steps 4 to 6 need the WhatsApp Business Platform.
What should you not automate?
Some messages are worse automated than late.
- Complaints and refunds. A person who is upset wants a person. Automate the acknowledgement, not the answer.
- Negotiation. A price is a conversation. A bot that discounts on a script trains customers to ask it.
- Anything you cannot keep accurate. Stock, availability and prices that change daily should come from a person or a live system, never from a saved reply.
- Repeated nudges. One follow-up is service. Five is the reason your template gets reported and paused.
When is the free WhatsApp Business app enough?
Often, for a small shop. Move to the Platform when one of these becomes true.
