How to Reply to a New Property Enquiry Fast, Without Sounding Automated

A buyer who enquires about a property is usually asking several agents at once, so the first useful reply matters. A practical way to set up a fast first reply: what it should say, what it should ask, when to hand over to a person, and the WhatsApp rules that decide what you can send.

A buyer who enquires about a property has usually asked more than one agent. The first reply that is useful, not just the first reply, tends to set who they talk to next. A good one names the property, answers the question, asks one easy thing and says who will be in touch.

This post covers how to set that up, whether a person or software sends it.

What should the first reply say?

Four things, in this order.

  1. The property. Use its name or reference so the person knows it is not a template.
  2. The answer. If they asked about availability or a viewing, say what you know.
  3. One question. Ask for their timeline or preferred time, not a long form.
  4. The next step. Say who will contact them and roughly when.

Skip the generic greeting and the paragraph about your company. On a phone, only the first two lines show.

Where do enquiries arrive, and which need a fast reply?

All of them, but they arrive in different places: your website, ads, WhatsApp, email and calls. Decide which sources get an automatic first reply and which a person always answers. A lead form submitted at 2 a.m. suits an automatic first reply. A phone call needs a person.

What are the rules for replying on WhatsApp?

WhatsApp requires that a person has opted in before a business messages them. Free-form messages are allowed only within 24 hours of the person's last message. After that, only a message template approved by Meta can be sent. What a WhatsApp CRM is explains how this shapes follow-up.

Other channels and countries have their own consent rules. Check the ones that apply to you before automating anything.

When should a person take over?

As soon as the conversation touches price, terms, negotiation or advice, or the person asks for someone. Set that handoff up in advance, so the person receives the whole conversation instead of starting again. The questions a real estate chatbot should ask shows what a useful handoff contains.

How does Vyostra AI help?

Vyostra AI captures leads from a chat agent and lead forms on your own website and from Meta lead ads, keeps them in one list with four statuses, and follows up on WhatsApp. It does not import enquiries from property portals. The real estate chatbot guide covers the full setup.

Common questions

What should a first reply to a property enquiry say?
It should name the property the person asked about, answer the question they actually asked, ask one easy follow-up such as their timeline, and say who will contact them next and roughly when. Keep it short enough to read on a phone lock screen.
Can I send any WhatsApp message to a new enquiry?
No. WhatsApp requires that a person has opted in before a business messages them, and free-form messages are allowed only within 24 hours of the person’s last message. After that, only a message template approved by Meta can be sent.
Should an AI send the first reply or a person?
Either can, as long as a person owns the lead afterwards. An automated first reply is useful when enquiries arrive at night or in bursts. Questions about price, terms or advice should go to a person.
