Four Lead Statuses Are Enough for a Small Real Estate Team

A small real estate team rarely needs a ten-stage pipeline. Four statuses (new, contacted, qualified and closed) show who has been answered and who is worth a call, and they are easy to keep honest. What each one means and when to move a lead.

A small real estate team does not need a ten-stage pipeline. Four statuses (new, contacted, qualified and closed) answer the questions that matter each morning: who has not been answered, who has, who is worth a call, and what is finished.

This post says what each status means and when to move a lead.

What do the four statuses mean?

StatusMeaningMove it when
NewNobody on the team has repliedA person or the assistant makes first contact
ContactedA reply has gone outThe person answers and shows real interest
QualifiedBudget, timeline and need fit what you sellA viewing, call or offer is on the table
ClosedNo more action is needed from youThe lead ends: sale, no, or silence

Why not more stages?

Every extra stage is a field someone has to keep current, and stale statuses are worse than none. Before you add a stage, name the decision it would change. If you cannot, leave it out.

What goes alongside the status?

Three small things make four statuses enough:

  • An owner, so each lead belongs to one person.
  • A next-action date, so a contacted lead does not sit forever.
  • Notes, which hold the detail a status cannot, such as "wants a ground-floor unit".

When should a lead be closed?

When nothing more is owed to it. Write the outcome in a note so you keep the reason. A closed lead should not be deleted, because it is the record of what you tried.

Where does the assistant fit?

Vyostra AI's lead list uses these four statuses, with an owner, a next-action date and notes on each lead, and the chat transcript attached. See what a WhatsApp CRM is and the questions a real estate chatbot should ask for how leads arrive qualified.

Common questions

How many lead statuses does a small team need?
Four is enough to start: new, contacted, qualified and closed. They answer the questions a small team asks every day: who has not been answered, who has, who is worth a call, and what is finished. Add more only when you can name a decision that a new status would change.
What does closed mean?
Closed means the lead needs no more action from you, whether it ended in a sale, a no, or silence. Write the outcome in a note so the record keeps the reason.
